JOB SUMMARY:
Be responsible for the sub-division administration, paperwork, coordination and other daily general administrative activities and team activity planning. Expected to build positive work relationships with multi-divisions, to establish an efficient cooperation mechanism among relevant divisions, and to improve the efficiency of the overall workflow.
MAJOR RESPONSIBILITIES:
? Provides administrative support and guidance including but not limited to calendar management, meeting coordination, schedule/leave management, contract management, business trip itinerary and reimbursement (when applies), liaison with other divisions in acquiring and maintaining technology, supplies, onboarding, work space coordination, sourcing and other logistical needs through standard UBR procedures.
? Utilizes appropriate computer programs to analyze, compile, update and maintain division correspondence and/or reports. Coordinates with other divisions and company offices the acquisition of information needed for special projects and meetings. Disseminates data/information to the appropriate parties. Creates presentations and materials for special projects. Develops material for line manager’s use in responding to requests or requirements.
? ? Maintains and updates regularly on the division internal shared drive folders and ensure the content is up-to-date and accessible to authorized personnels; keep the confidentiality and leads the necessary communication standards for such information.
? Processes operational expenses for the business unites and works through related Finance systems to obtain funding and charge account information to funnel purchase through internal systems for approval and tracking. Assists with business unites to achieve cost saving target.
? Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training, and team member involvement activities.
? Performs other duties as assigned.
QUALIFICATIONS:
? Good English communication, which including listening, oral, reading and writing
? Proficient in Microsoft Office; detail-oriented and deadline driven
? Good team player and able to organize meetings and activities
? Proactive and effective communication skills within and across divisions
? Good problem-solving skills and be able to apply the knowledge
? Outstanding workplace professionalism, time management, stress/emotion management with open mindset
? Self-motivated and eager to learn from job
? Solid business acumen and analytical thinking is preferred
EDUCATION:
Bachelor's degree or above; Business Administration related major.
