Major Responsibilities and Objectives:
- To assist Amin Manager in daily office administration management.
- Provide front desk services and basic administrative support to the office.
Major Tasks & Activities:
1、 Daily office operation
- Maintain a healthy, safe and clean working environment and reception function.
- Handle visitors’ greeting, registration and hospitalities.
- Handle all incoming and outgoing express mails and packages.
- Answer phone calls and take messages.
- Book and coordinate meeting room and company car service.
- Order stationery, name card, badge and weclome gifts for office staff.
- Purchase supplies and commodities for the office and holiday house.
- Support to book air tickets / train tickets of business travel for office staff.
- Arrange cleaning services and inspect service quality.
- Be responsible for office facilities daily insepction and repair.
- Assist to fixed assets management and annual inventory.
- Puchase mobile recharge cards for secondees.
- Deal with emergencies, i.g. break-in, emergency repairs.
- Support to company activities, i.g. annual dinner, staff gathering, staff outing, birthday party, fruit day, etc.
- Any other tasks and duties assinged by department.
2. Finance and payment
- Place PO/PA for daily office expenditures, i.g. office supplies and commodities, air tickets/train tickets, stationary, name card, telephone charge, express mail and other work related costs.
- Fill in monthly costs report.
- Control expenses within budget.
Skills, Qualifications and Experience Requirements
- Bachelor degree or above.
- Good spoken Mandarin and English.
- At least 2 years reception working experience in a multifuncion company and 3-5 years working experience.
- Good PC skills (words, excel & PowerPoint).
- Responsible, stable, presentable, pleasant, courteous and service-oriented.
